Employment Certificate

在職証明書Zaishoku shōmeisho

What is it?

An official letter issued by your employer confirming that you are currently employed there. Required for visa applications and various administrative procedures that need proof of your occupation and income.

When is it needed?

  • Permanent residency application (as proof of occupation)
  • Work visa renewal or status change
  • Rental contract or public housing application

Where to Obtain

Your Employer (HR Department)

Request the certificate from your company's HR or General Affairs department (人事部 / 総務部). Most companies issue it within a few business days. Some larger companies have an internal request form or online portal.

What to tell HR:

  • State the purpose (e.g., visa renewal, PR application)
  • Specify if you need it in Japanese, English, or both
  • Ask for: name, date of hire, job title, department, employment type, and annual income
  • Must have the company seal (社印) and the name of the authorized signatory

Tips Before You Submit

Request it at least 1–2 weeks before your submission deadline — HR may need time

The issue date must be recent — most procedures require a certificate dated within 3 months

Ensure the annual income figure matches what you declared in tax returns or withholding statements
